Position Announcement



The Administrative Assistant for the Applied Sociology and Criminal Justice (ASCJ) department provides administrative support for the Applied Sociology and Criminal Justice programs. This part-time position reports directly to the Department Chair of ASCJ. This appointment is a ten-month, four-year fixed-term contract (July 16 through May 15 each year). Continuation of the position at the end of the four years is dependent on available funding.


Responsibilities
  • Provide administrative support to the department chair, faculty, and students enrolled in ASCJ programs.
  • Assist in  greeting the general public, answering phones and emails, distributing department mail, directing students/visitors to proper areas/offices on campus, and assisting in planning and holding events and meetings.
  • Manage purchasing card (P-Card) and prepare and track purchase requisitions and other university forms and processes as needed. Reconcile expenses from P-card as required.
  • Assist Department Chair in budget tracking and balancing.
  • Coordinate with Department Chair, Administrative Specialist, and College Business Manager in class scheduling for fall, spring, and summer semesters.
  • Maintain proficiency in use of school database systems, such as Banner,  EMS, Argos, etc. Generate and monitor enrollment reports prior to the beginning of each semester.
  • Maintain and oversee inventories of department equipment and supplies. Submit work orders to IT and facilities.
  • Organize, record, and distribute minutes from department meetings.
  • Assist with faculty searches by booking travel accommodations, preparing itineraries, and engaging with candidates.
  • Perform other duties as assigned by the Department Chair and/or Dean and/or Administrative Specialist.
Qualifications
  • High School Diploma/equivalent GED required. Associate's degree (or higher) preferred.
  • Two years of related office experience required; experience working in a higher education environment preferred.
  • Excellent knowledge of English grammar, punctuation, and correspondence. Excellent oral and written communication skills.
  • Knowledge of basic budgeting and bookkeeping.
  • Strong knowledge of computer software systems, particularly Microsoft Office suite (Word, Excel, Outlook), with excellent typing skills. Ability and desire to learn and adapt to new computer systems preferred.
  • Knowledge of general office practices, office equipment, procedures, and budget skills.
  • Ability to organize and maintain an effective and efficient office atmosphere.
  • Ability to concentrate on detailed projects during numerous interruptions by telephone  or from walk-in inquirers.
  • Ability to exercise important human relations skills in establishing and maintaining effective and positive 
  • working relations with the University community and the public at large.

POSITION DETAILS, COMPENSATION AND BENEFITS: Part-time hourly staff position (up to 29 hours per week for ten months of the year: July 16 - May 15). Hourly rate of $15.00-$17.00/hr, depending on experience.
