SUMMARY
The
Workforce Innovation Specialist II supports the Office of Workforce Innovation in administering non-credit workforce programs and Registered
Apprenticeship initiatives. This role coordinates apprenticeship documentation and compliance processes, workforce revenue tracking,
non-credit registration systems, and corporate training operations while providing executive-level administrative support to the Executive
Director. The position serves as a key liaison for employers, students, and partners to ensure accurate program administration and smooth
division operations.

POSITION DESCRIPTION

  • Workforce Revenue Tracking & Financial Support (40%): Track and
    reconcile revenue associated with corporate training, Workforce Innovation academies, workshops, and non-credit offerings. Maintain payment
    logs and supporting documentation, assist with invoicing and payment confirmations, and prepare revenue summaries in coordination with the
    Business Office.
  • Non-Credit Course & Registration Administration (25%): Manage course setup and section entry within
    non-credit registration systems. Monitor enrollment activity, maintain accurate rosters, and coordinate with trainers, marketing, and
    internal partners to ensure timely and accurate course publication. Provide administrative support for registration inquiries and
    processing.
  • Apprenticeship Program Coordination & Compliance Support (20%): Support the administration of registered
    apprenticeship programs by maintaining employer and apprentice documentation, preparing required forms and submission materials for the
    Kansas Office of Registered Apprenticeship, and ensuring accurate tracking of timelines, compliance documentation, and program records.
    Serve as a key administrative liaison between KCKCC staff, employers, apprentices, and internal departments to ensure efficient program
    workflow.
  • Operational & Office Support (10%): Support daily division operations, including supply management, mail
    coordination, vendor communication, front desk coverage, and general clerical functions as needed to ensure smooth office operations.
  • Executive & Divisional Administrative Support (5%): Provide high-level administrative support to the Executive Director and
    Workforce Innovation Division, including calendar management, meeting and event coordination, preparation of correspondence and reports, and
    oversight of organized electronic filing systems.
  • Perform other duties as assigned by the Executive Director.

    documentation, and support compliance-driven processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook,
    PowerPoint), including creating spreadsheets, reports, and professional correspondence.
  • Ability to manage multiple
    priorities, meet deadlines, and adapt to changing workload demands.
  • Clear written and verbal communication skills, with a
    professional and customer-focused approach when working with employers, students, faculty, staff, and community partners.
  • Ability to maintain confidentiality and handle sensitive academic, financial, or state-regulated documentation with accuracy and
    discretion.
  • Demonstrated initiative and problem-solving skills under general supervision.
  • Ability to learn
    and navigate data systems, including student information systems, CRM platforms, registration systems, and document management tools
    (Ellucian preferred).
  • Experience coordinating meetings, training sessions, or multi-stakeholder activities in a
    collaborative environment.
MINIMUM QUALIFICATIONS
  • High School Diploma/GED equivalent with at least three (3)
    years
    of experience in financial tracking, invoicing, payment reconciliation, or revenue documentation in a business, non-profit, or
    academic environment.
OR
  • Associate degree with at least two (2) years of experience in financial tracking,
    invoicing, payment reconciliation, or revenue documentation in a business, non-profit, or academic environment.
  • Knowledge of
    workforce development, apprenticeship programs, continuing education, corporate training, academic programs, or other structured program
    operations, including documentation and workflow coordination.
  • Proficiency with CRM tools, database management systems, or
    registration platforms.
PREFERRED QUALIFICATIONS
  • Associate degree or higher (preferably in Business Administration,
    Office Technology, Education, or a related field).
  • Two(2)+ years of experience supporting workforce development, apprenticeship
    programs, continuing education, corporate training, academic programs, or other structured program operations involving documentation and
    workflow coordination.
  • Three(3)+ years of experience with student information systems (preferred Ellucian) or other
    non-credit/continuing education registration platforms or database management systems in a higher education environment.
  • Four(4)+
    years of experience with financial tracking, invoicing, payment reconciliation, or revenue documentation in a business, non-profit, or
    academic environment.
WORKING CONDITIONS

While performing the duties of this job, the employee is frequently
required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift
items.

WORK SCHEDULE
Monday through Friday, 8:00 AM to 5:00 PM (CT). Flexibility to work a variable schedule is required
to meet operational needs, including the possibility of evening and weekend hours.
