Position Summary

The Administrative Assistant II provides primary administrative support for the Office of Student Performing Arts (SPA). In support of SPA's mission to empower creativity, foster artistic growth, and inspire excellence, this role serves as a welcoming first point of contact for students while providing essential administrative support for staff and programmatic activities.

The Administrative Assistant II acts as a key resource for students and other constituents-including community members and patrons-seeking information about SPA operations and performances. Additionally, this position supports SPA staff across a broad range of operational needs, including financial processes, scheduling, data management, and general office operations. This is a 10-month, part-time position (August - May) for 25 hours/week and located on the Villanova campus.

Duties and Responsibilities
  • Provide Administrative Support to the Office of Student Performing Arts
    Provide comprehensive administrative support to the Office of Student Performing Arts (SPA), including the following responsibilities:
    • Serve as a welcoming first point of contact by assisting students and addressing initial inquiries from patrons and community members regarding upcoming performances and events
    • Manage financial and operational processes, including reimbursements, deposits, invoicing, part-time payroll processing, online storefronts, office purchasing, and the preparation of monthly financial reports for SPA groups
    • Maintain accurate and up-to-date SPA group information, including student organization rosters, student leader contact details, part-time staff records, and fleet van usage tracking
  • Maintain Student Performing Arts Calendar, Rehearsals, and Events Information
    Manage scheduling and access for Student Performing Arts (SPA) rehearsals and events, including the following responsibilities:
    • Maintain the SPA weekly rehearsal reservations Google Calendar and support student requests for rehearsal space
    • Enter and update SPA events and space reservations in Venue VU
    • Provide Wildcard access for students requesting authorized entry to rehearsal, performance, and practice spaces
    • Maintain SPA mailing list and address patron questions
  • Provide Operational and Logistical Support for SPA Facilities and Spaces
    Provide operational and logistical support to ensure SPA facilities and spaces are safe, functional, and well maintained, including the following responsibilities:
    • Monitor SPA spaces to identify maintenance or environmental needs
    • Support seasonal humidifier maintenance and assist with basic piano upkeep to help preserve instruments and facilities
  • Other Duties and Responsibilities as Assigned
    Provide additional support for Student Performing Arts (SPA) and related University initiatives as needed, including the following responsibilities:
    • Assist with major SPA events and performances, as needed (e.g., Homecoming Stage, A Cappella Palooza, Irish Dance Festival)
    • Support University events and programs in collaboration with Student Performing Arts, as needed (e.g., 1842 Day, Pops in the Pavilion and other Family Weekend performances, Admitted Students Day)
    • Perform other duties and assist with projects as assigned
Minimum Qualifications
  • High school diploma required.
  • At least two years of relevant professional experience is required. Experience assisting with financial accounting and recordkeeping is essential.
  • Demonstrated ability to effectively manage and respond to student inquiries, needs, and concerns. Strong attention to detail with the capacity to work independently while managing multiple tasks in a high-volume, fast-paced work environment. Excellent written and verbal communication skills, along with strong collaboration and interpersonal abilities.
  • Demonstrated understanding of general office procedures and the ability to convey the highest degree of professionalism in all interactions. The successful candidate will be detail-oriented, collaborative, and committed to working effectively as part of a team. This individual must also demonstrate a deep commitment to the flourishing of Villanova University, its students, and its mission, along with an understanding of Villanova's Augustinian and Catholic values and how these principles guide interactions with both internal and external constituents.
  • Computer literacy in Microsoft Office programs is required.
Preferred Qualifications
  • Associate's program or bachelor's degree preferred, in related field
  • Previous experience in a higher education environment and in customer service roles is preferred.
Physical Requirements and/or Unusual Work Hours

The Office of Student Performing Arts is a high-traffic, dynamic work environment with multiple peak periods of activity throughout each academic semester. Frequent interruptions to address student inquiries, needs, and patron requests are a normal part of daily operations. Salary Posting Information

This position falls within hourly grade 11 and the range is $25.05 - $26.48/hour. The final salary will be determined with consideration of several factors including the selected candidate's qualifications, department budget availability, market data, and internal equity.
