Job Summary

Under minimal supervision provide administrative support to the Dean of the School of Health Sciences, faculty and staff in all areas at the college in relationship to the College. The School consists of four Divisions, administered by four associate deans and administrative assistants, which work closely with the Dean and the Administrative Assistant to the Dean's Office. Disseminate general information to students, employees and outside community and maintain frequent College-wide and community contacts. Understand policies and procedures of the College. Manage general affairs of the office. Handle work and information of a confidential nature. Supervise work study, full-time and part-time employees. Process documents and forms relating to personnel, payroll and budgetary items and input information into the College's system. Order, maintain and inventory supplies and equipment. Assist with any school curriculum, accreditation, and articulation processes.

Essential Duties & Responsibilities & Knowledge Skills & Abilities
  • Excellent knowledge of business English, math, writing, spelling, punctuation, vocabulary.
  • Good written and verbal communication and problem-solving skills.
  • Excellent public relations and people skills.
  • Knowledge and understanding of general office procedures and methods; knowledge of School and College policies, procedures, and operations; proficiency on computers, fax and other office equipment; proficiency in operating word processing and spreadsheet software; excellent typing skills required.
  • Ability to type quickly and proficiently; excellent dictation or note taking skills.
  • Follow written and oral instructions effectively; perform clerical tasks under stress; research and analyze information; compose and write reports, letters, memos, etc.; perform duties with minimal supervision; supervise and coordinate activities with others; work with and safeguard highly confidential information; relate and communicate well with a variety of people, inside and outside of the college; accounting and budget knowledge background preferred.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Minimum qualifications
  • Associate's degree or Two (2) years post high school.
  • Two (2) to five (5) years of related full-time experience.
Preferred Qualifications
  • Bachelor's degree
  • Six (6) + years experience
  • Healthcare or Medical Office experience
